Answers about Fiboo as an AI-native Swiss ERP: assistant, document understanding, accounting, payroll, sales, warehouse, assets, vehicles, cards, privacy and fiduciary workflows.
How can I learn to use Fiboo?
Fiboo is designed so that no classic training is required. The integrated AI assistant guides you step by step, explains processes, executes tasks automatically and helps when errors occur. You learn how to use the system directly in day-to-day work – intuitively and without a manual.
Why is Fiboo free?
Fiboo is currently financed by reklas GmbH. The target model is transparent financing through sponsors and branding, without fees for SMEs.
Important for you: neither reklas GmbH nor future sponsors receive access to your operating data. We do not sell or rent user data, we do not generate insurance leads, and as a Swiss product we follow Swiss data protection law (FADP) strictly. You benefit from a full software solution without fees while keeping full control over your information.
How can Fiboo be free without selling data or insurance leads?
Fiboo is currently funded by reklas GmbH. Long term, the intended model is transparent sponsorship and branding, not selling your data. No operational data is passed to insurers, brokers or lead sellers. There is no address trading, no hidden brokerage model and no paywall later financed by your data.
Who is Fiboo for?
For SMEs, startups, sole proprietors and fiduciaries who want a complete system without costs and complexity. Also for companies that take orders every day, print delivery notes or create invoices. Fiboo accepts an unlimited number of employees – without extra fees or performance limits.
How does the AI assistant help in practice?
The assistant knows the entire system, explains processes, executes tasks (e.g. creating payroll runs, generating invoices, posting hours) and helps when errors occur. This saves time and avoids training effort.
What does AI-native ERP mean in Fiboo?
AI-native means Fiboo does not only digitize forms. The assistant understands documents, company context and module relationships, reads data, prepares follow-up actions and executes confirmed ERP steps in the correct module.
Can the assistant prepare postings, payroll runs or invoices?
Yes. The assistant uses Fiboo tools for accounting, payroll, sales, employees, vehicles, assets, cards and company master data. It can read data, prepare drafts, run checks and execute confirmed actions in the productive modules.
Which areas can the Fiboo assistant cover?
The assistant is connected to productive Fiboo modules: journal, bank, creditors, debtors, payroll runs, salary certificates, employees, customers, items, jobs, invoices, warehouse, assets, vehicles, cards, company setup and insurance data.
Which documents can the Fiboo assistant understand?
The assistant is designed for document-based workflows. This includes invoices, receipts, employee lists, vehicle registration documents, bank documents and other business documents such as balance sheet or closing documents. Fiboo recognises the document type, extracts the relevant data and assigns it to the correct company and module context.
Can Fiboo prepare a company from a company name or registry data?
Yes. If a company name or suitable registry data is available, Fiboo can prepare the company setup context, suggest master data and, after confirmation, transfer it directly into the company logic. This significantly reduces manual entry during the initial setup.
How does Fiboo help when starting with existing documents or legacy data?
Fiboo is strong when documents already exist. Instead of typing everything again, existing documents can be used as the starting point. The assistant classifies document types, extracts relevant information and helps prepare the next steps for a clean start or further processing in the right module.
Do I always have to use time tracking in Fiboo?
No. The time module is controlled per company. When it is active, approved hours flow directly into payroll. If a business intentionally works without ongoing time tracking, working hours and hour-related values can still be maintained directly in payroll. This is useful for family businesses or deliberately lean working-time models.
What advantages does Fiboo offer compared to other systems?
Fiboo covers payroll, sales, HR, time tracking and AI in a single platform, remains permanently free and allows unlimited employees, payroll runs and modules – without limits. The AI assistant takes over specialised processes, while new legal requirements and customer wishes are rolled out without expensive release projects.
How does automatic payroll work in Fiboo?
Fiboo calculates AHV, ALV and withholding tax automatically. UVG, KTG and BVG may vary depending on the insurer – Fiboo takes these differences into account but does not calculate them fully automatically. All wage types are available, and the system detects when an employee is subject to withholding tax and shows a corresponding hint in the payroll form.
How are shift and child allowances calculated?
Shift allowances are recognised automatically when an employee works at least 45 minutes between 23:00 and 06:00. In that case the shift is paid with a 25% premium; from the 24th working day in the year an additional 10% is applied retroactively. Child allowances are calculated automatically according to the cantonal rules, including education allowances. For children abroad the amount can be adjusted manually.
How are vehicles, fuel cards, payroll and accounting connected in Fiboo?
Fiboo does not manage vehicles in isolation. Vehicle data, employee assignments, mileage and fuel cards can be connected with the rest of the operational data. This keeps vehicle-related processes documented cleanly and allows payroll or accounting-relevant topics to be processed in the right context.
How secure is my data in Fiboo?
Data is stored in Germany, fulfilling the requirements of both Swiss FADP and the European GDPR. All transmissions are encrypted, and access is strictly role-based.
How does integration with fiduciaries or tax advisors work?
Fiboo allows secure access for fiduciaries via role-based permissions. They can view data, export it or work directly inside the system – without additional software.
How will Fiboo develop in the future?
Fiboo is cloud-based, scalable and grows automatically with your company – whether you have 1 or 1 000 employees. Accounting and inventory are already integrated; next come further automations, industry modules and deeper assistant workflows.
What if I need additional module features?
Simply tell the AI assistant or our team which feature is missing. We continuously plan customer requests and deliver them with upcoming updates. Depending on scope this can take up to three months – but often it is faster.
Can I define individual VAT rates per article?
Yes. You can define article groups and assign the appropriate VAT rate to each group. All articles in that group are then invoiced automatically with the stored rate – whether standard, reduced or tax-free.
How do I store customer-specific prices for articles?
Open the customer's profile and add the desired articles with individual standard prices or discounts in the pricing section. As soon as you create a quote, order or invoice, Fiboo automatically applies the customer-specific prices and calculates them correctly.
How does bank matching work in accounting?
Fiboo automatically matches bank movements with open invoices, receipts and journal entries. Recurring patterns can be recognised using rules. You immediately see which entries are already assigned and where manual clarification is still needed.
Can Fiboo import and post bank statements?
Yes. Fiboo supports bank data and statements in the accounting context, matches movements with receipts, invoices or journal entries and prepares rules for recurring patterns. Open assignments stay visible.
Can Fiboo create creditor invoices from documents?
Yes. Incoming invoices can be uploaded, read and prepared as creditor documents. Supplier, date, amount, VAT and references are structured so review, journal linking and payment preparation can continue cleanly.
Can I monitor open debtor and creditor items centrally?
Yes. Open items are shown centrally with status, due date and references. You can spot overdue debtors, pending supplier invoices and payment states at a glance and start follow-up actions directly.
Does Fiboo support monthly and annual closings?
Fiboo supports periodic closings with a clear journal structure, traceable booking details and exportable data states. You can prepare closings internally and finalise them efficiently with your fiduciary if needed.
Can I export accounting data for fiduciaries?
You can give fiduciaries role-based access and export relevant data in a structured way. Collaboration remains transparent: operational bookings stay with you, while review and closing work can be coordinated with the fiduciary.
Can I upload receipts in creditors and link them to the journal?
Yes. You upload the supplier invoice in the creditor area, and Fiboo automatically recognises key data such as supplier, invoice date, amount and VAT. The receipt can then be reviewed, accepted as a creditor document and linked directly with the correct journal entry.
Does Fiboo support Swiss VAT settlement?
Yes. Fiboo supports VAT settlement according to Swiss requirements and guides you through the relevant values. This reduces manual steps and keeps tax-relevant figures traceable at all times.
How does dunning work in Fiboo?
Dunning works in stages with deadlines, fees and history. You see the reminder status per invoice, can create or pause reminders selectively and keep escalations under control.
Can I create salary confirmations and salary certificates?
Yes. Fiboo supports the creation of salary certificates and other payroll confirmations so relevant payroll documents are available in a structured and consistent way.
Can I set correspondence language and signature for letters and reminders?
Yes. In the settings, you can define the correspondence language as the default. In addition, a signature including name can be stored in the account so reminders and other correspondence can be printed directly with signature and name line.
Which warehouse movements does Fiboo support?
Fiboo supports stock-in, stock-out or depreciation, transfers and corrections. Every movement is logged with quantity, location and reference so stock changes remain traceable and audit-friendly.
What is the difference between warehouse and asset inventory?
Warehouse manages operating stock: items, raw materials, locations, packaging, movements and recipes. Asset inventory manages capital assets such as IT, furniture, machines or tools with purchase, book value, depreciation and journal links.
Can I manage stock by warehouse location, shelf and bin?
Yes. You can maintain a multi-level warehouse structure, for example warehouse, zone, aisle, shelf and bin, and track stock per item at the respective locations. This makes picking, stocktaking and transfers easier in day-to-day work.
How does Fiboo support production and bills of materials?
Recipes or bills of materials can be stored for products. During production or sale, the linked raw materials are automatically reduced. You see material consumption, availability and reorder needs without manual side lists.
Can I use warehouse data for accounting and costing?
Yes. Movement history, quantity development and stock data create transparency for valuation and costing. This helps align warehouse and finance processes, from operational planning to accounting evaluation.
Does Fiboo support order processing with digital signature?
Yes. Orders can be confirmed digitally on site and documented with a signature. Service, approval and timing remain traceable and are available directly for further processing through to the invoice.
Can Fiboo capture vehicles from registration documents?
Yes. Vehicle registrations as image, HEIC or PDF can be used as the starting point for vehicle master data. Fiboo prepares technical data, plate, holder context, role, assignment and payroll or accounting follow-up.
Can Fiboo assign fuel cards and bank cards to employees or vehicles?
Yes. Company cards include provider, masked card number, validity, limit and cost center. A card can be clearly assigned to a vehicle or an employee, and the history remains traceable.
Does Fiboo support a Swiss expense policy?
Yes. Fiboo manages a documentary expense policy with SSK default values, mileage rates, meal allowances and PDF export for signing and submission. Fiboo intentionally does not automatically verify external cantonal approval.
